Choosing EINs and Defining Your Company Structure
Purpose:
If your organization uses multiple EINs or has distinct company divisions, this step will help us understand how to structure your setup in HCM TradeSeal. Defining this now ensures correct Certified Payroll reporting, user access, and data separation.

You only use one EIN and have one company entity. We’ll automatically configure your setup as a single organization.
✅ Key Concept: What’s an "Org" in TradeSeal?
In TradeSeal, an Org (short for organization) represents a distinct company entity — usually tied to a unique EIN and/or payroll reporting structure.
You should use separate orgs when:
- Each entity has a different EIN
- You need to restrict user access (e.g., users in Org A can’t view Org B employees)
- You need to separate employee groups entirely (e.g., Eastern vs. Western division)
- Each org submits different Certified Payroll reports (e.g., company name, address, and signature differ)
💡 Example:
Org A may submit reports under your legal name, but Org B might submit under a DBA like “Eastern Construction Co.”
✅ What About Pay Groups?
Pay Groups are a lighter tool within an org. They help you segment payroll data without affecting reporting or user access.
Use pay groups when you want to:
- Organize payroll by role (e.g., Operators vs Administrators)
- Divide salary and hourly teams for easier review
- Keep timecard uploads clean and segmented
💡 Unlike orgs, pay groups don’t affect permissions or legal reporting — they’re just for convenience during payroll processing.

- Whether you need to separate employee groups by access or reporting
- Any distinct company names or addresses used on Certified Payroll reports
- Any pay group preferences within each org
