This document will guide you through the process of removing an employee record in HCM TradeSeal.
To remove an employee record:
- Sign into your HCM TradeSeal account.
- Navigate to the menu on the left side of the screen and select the “Data Manager” option.
- This will take you to a list of all the employees that you have loaded in your TradeSeal account.

Locate the name of the employee that you want to delete, and select the trashcan icon (on the far right).

A series of popups will ask you you to confirm this action.

NOTE* Before you leave this screen you must Save using the Save button on this screen in the upper right area. If this step is skipped your changes will not be confirmed. If you get a 12 month warning popup, please continue below for additional information.

12 Month Warning

💡 Tip: in order to provide our users with access to historic reporting and retroactive pay period access, recent employees remain accessible in TradeSeal as long as they have at least one timecard within the past 12 months.
TradeSeal strongly recommends keeping historic employee data in your system whenever possible - however, if you need to fully remove a recent employee from TradeSeal, please use the following steps to ensure you will be able to delete the recent employee.

Delete all of the employee's hours that appear in "Rate Validation" within the last 12 months. (If you need to delete data for multiple employees, use "File Manager" to delete timecard uploads.)
⚠️ (!) Warning: Please do not delete historic timecards with union or prevailing wage hours. In the event of a prevailing wage inspection, union audit or other audit, it is strongly recommended to keep historic data available. HCM TradeSeal is not responsible for maintaining or storing historic data that is deleted by users.
- Return to the "Data Manager" screen.
- Delete employees as needed.
