Overview
Pay Groups are used to organize timecard files into distinct categories for easier processing.
They do not impact employee-specific data such as Rates or Benefits.
Their sole purpose is to categorize timecard entries to simplify processing for end users.
🔧 Setting Up Pay Groups
To enable Pay Groups, follow these steps:
Add Pay Group to Employee Records
Ensure that a Pay Group field is included on each employee record.The value entered in the Pay Group field can be any label. The important thing is to use it to distinguish between different sets of timecards—such as Salary, Hourly, or other categories.
Configure Time Import Logic
During Phase 1 of your Project Plan, work with your Implementation Team to ensure the following:Each employee record has a Pay Group value entered before time is imported.
The time file does not need to include the Pay Group. The system will look up the employee's Pay Group based on their ID and assign the timecard accordingly.
💡 If a Pay Group is not found for an employee, they are still processed but will be placed into a fallback No Pay Group bucket. This may lead to inaccurate reporting if Pay Groups are required for your setup.
⚠️ Make sure Pay Groups are filled out on all employee records to ensure proper bucketing and processing.
🧾 Using Pay Groups in Rate Validation
Once the timecard file has been uploaded and the Pay Group setup is complete:
When users go to Rate Validation for that week, a dropdown menu will appear.
This dropdown displays:
The Pay Group name
The file source it originated from
This helps users easily select and process grouped timecard data.
