The Overtime, Doubletime & Holiday Automation Add-On enables TradeSeal to automatically apply complex pay rules—like daily overtime, weekend rules, or paid holidays—without requiring manual adjustments.
Key Features:
- Automatically applies overtime, doubletime, and holiday rules
- Rules can be configured at the Job level or Union level
- Ensures compliance and reduces manual corrections
- Helps standardize time entry across crews and projects
How It Works:
Once this add-on is enabled and your overtime and holiday rules are configured (see related documentation), TradeSeal will automatically apply those rules during the Rate Validation process.
For example, if a user enters 12 regular hours on a Monday, the system might convert that to 8 regular hours and 4 overtime hours based on the configured rule for that job or union.
This ensures consistent, compliant payroll calculations—before anything is sent to your payroll system.
Step One: Configuring Your OT and Holiday Rules
Before using HCM TradeSeal to manage your employees’ time effectively, it’s essential to define your company’s Overtime (OT) and Holiday rules. These configurations form the backbone of accurate pay calculations and compliance tracking.
To set these up, follow the steps below:
Navigate to the Data Manager Module
From the HCM TradeSeal dashboard, go to Data Manager. This is where foundational company data is managed.Select the “Jobs” Section
Within the Data Manager, click on Jobs. Each job role listed here contains editable fields that allow you to define how time is calculated for employees assigned to that role.-
Configure the “Overtime Rules” Column
In the Overtime Rules column, assign the appropriate OT rule that reflects your company’s policy. This could include:Daily or weekly overtime thresholds
Double time configurations
State-specific regulations or union agreements (if applicable)
Make sure these rules align with both your internal policies and legal requirements.
-
Set the “Holidays” Column
In the Holidays column, assign the corresponding holiday rule for the job. This may include:Recognized federal or state holidays
-
Company-specific holidays (e.g., Founder’s Day, annual shutdowns)
To add company specific holidays, please navigate to Organization Settings > Data Management to input your Company-Specific Holidays.
Rules on how holiday pay is calculated (e.g., time-and-a-half, double time)
These fields ensure that holiday and overtime pay is applied automatically and accurately when employees clock hours during those periods. Our list of OT Rule Codes can be found here.
⚠️ Note: If you have not yet created the OT or Holiday rules you need, these must be set up first within the "Overtime" and "Holiday" columns of the jobs platform before they can be applied to jobs.
Step Two: Testing
To test the OT/Holiday Automation function, please follow these steps:
- Go to staging.valetplatform.com
- Go to the Import Time screen and upload your time card via the time sheet upload or enter in time manually entry using Cost Entry
- Go to Rate Validation
- In Rate Validation toggle on “Dates” and “Pay Codes” in the upper left hand corner:
- Confirm that the OT/Holiday logic is applying the rules accurately and as expected.
